EDI vs API Integration With a Miami 3PL
Choose EDI when your trading partners are large retailers, grocery chains or ocean carriers that already mandate it. Choose an API when you need real-time inventory and order status, and you control both ends. Most Miami 3PL programs end up running both, because the retail side demands EDI and the e-commerce side demands APIs.

What each one actually does
EDI
Electronic Data Interchange sends structured, standardized documents in batches. In North American logistics you will mostly see the ANSI X12 set:
- 850 purchase order
- 856 advance ship notice (ASN)
- 810 invoice
- 940 warehouse shipping order
- 943 / 944 warehouse stock transfer shipment and receipt advice
- 945 warehouse shipping advice
- 947 warehouse inventory adjustment
- 214 transportation carrier shipment status
Documents move over AS2, SFTP or a VAN. Cadence is typically every 15 minutes to a few hours. It is mature, heavily standardized, and universally accepted by big-box retail.
APIs
A REST API exchanges JSON on request, in real time. You ask for inventory, you get inventory as of now. Webhooks push events the moment they happen — order shipped, exception raised, delivery confirmed. Integration is faster to build, easier to debug, and far better suited to a storefront that has to show live stock.

- Is EDI mapping billed per partner, per document, or included?
- Do you have public API documentation and a sandbox environment?
- What is the inventory sync interval, and is it push or pull?
- Who owns the VAN relationship and its costs?
- What is the typical onboarding timeline for a new retail trading partner?
- How are integration errors surfaced — dashboard, email, webhook?

Do I still need EDI in 2026?
If you sell to large retailers, grocery chains or mass merchants, yes. Their routing guides typically mandate specific X12 transaction sets such as the 850 purchase order, 856 ASN and 810 invoice, and non-compliance triggers chargebacks. If all of your channels are direct-to-consumer or marketplace, you may be able to run entirely on APIs.
Which EDI documents matter most for warehouse operations?
The warehouse set: the 940 shipping order tells the 3PL what to ship, the 945 shipping advice confirms what shipped, the 943 and 944 handle stock transfer shipment and receipt, and the 947 posts inventory adjustments. Alongside these, the 856 ASN and 214 carrier status keep your customers and your visibility tools current.
How long does 3PL integration usually take?
An API integration against documented endpoints is often live in one to three weeks. A new EDI trading partner typically takes longer because each document has to be mapped and tested against that partner’s specification, and retail partners usually require a formal certification cycle before production traffic is allowed.
